Enterprise-Scaled SharePoint Migrations

The software is designed with consideration of how IT Admins actually work. Microsoft 365 Tenant to Tenant migrations during M&A, divestiture, rebranding, compliance-driven migrations, and restructuring in SharePoint are amongst the most complex procedures in all Microsoft 365 administration. Unfortunately, built-in Microsoft solutions have limitations: either PowerShell commands require a lot of scripting, or they lack selective filtering. SysInfo SharePoint to SharePoint Migration Tool offers a complete migration in an intuitive, quick, and simple way due to its GUI, powered by the Microsoft Graph API. From source authentication to site mapping, filtering, and live reporting, it handles everything with accuracy & ease.

Why SysAdmins Trust Smart SharePoint Migration Tool?

Discover why this software is considered a feasible & reliable SharePoint tenant migration solution.

Native Microsoft Graph API Security for Accelerated Migrations

This SharePoint Data Migration Tool uses the Microsoft Graph API for site migrations. It is the same stack Microsoft uses itself for the M365 services, and understanding what it enables along with its current limitations is essential for an authentic SharePoint migration.

MS Graph API: REST-based | Unified Office 365 Access | Modern Authentication Compliant | OAuth 2.0 | Highly Secure | Throttle-Free Speed | Zero Bottlenecks

What Does It Enable?

  • OAuth 2.0 Modern Auth: No password storage, token-based authentication, compliant with Microsoft's MFA enforcement policies and Entra ID app registrations.
  • Admin Impersonation: With Entra ID registration, input credentials for Client ID, Tenant ID, Admin ID, and Client Secret for secure delegated admin-level access. No exposure of the individual admin credentials.
  • Complete SharePoint Enumeration: Retrieve all the site collection entries, including document libraries (drive files and folders) and list structures (generic) from source and target tenants.
  • Metadata Preservation: Migrate all created date, modified date, file author, content type, and custom column metadata with site contents intact.
  • Date Handling: Graph API treats Created and Modified Date as distinct fields. SharePoint Online Migration Tool has a date filter which prevents missed files when both values are the same (usually with new uploads).

Limits For SharePoint Migration?

  • HTTP 429 API Throttling: On SharePoint calls, Graph enforces per-app/per-tenent rate limits. In large-scale scenarios, this causes throttling. The software handles it with automatic retry-after responses.
  • File Upload Limit: Exceeded folders have multiple limits; however, they are easily handled by the software to avoid any conflicts and issues during the migration.
  • Non-migrated Sites Data: SharePoint file version history, legacy designer workflows, Power Automate flows attached to libraries, and permissions are not migrated. They require re-build or separate I/E on the target tenant. Site-level, unique folder, or item-level permissions require configuration on the target tenant post-migration.
  • Retired ACS Since April 2026: SharePoint App-Only (ACS) authentication is no longer supported by Microsoft. Either use Modern Authentication or Admin Impersonation for secure login with the SharePoint Migration Manager Software.

Microsoft Graph API vs Legacy SharePoint Protocols

Microsoft has phased out ACS-based authentication and password-based authentication (legacy CSOM & SharePoint REST). Modern OAuth2.0 and Entra ID App Registration with the Graph API is the sole future-proof method for SharePoint integration with support for multi-factor authentication. Microsoft suggests it as the only solution for newer SharePoint integrations and automations since 2025.

Rate Limit Note: There are limits on SharePoint requests using the Microsoft Graph API. Usually 1200 requests per minute per tenant. However, the Microsoft SharePoint Manager is able to manage throttling by automatically detecting 429 (Too many requests) responses and applying an exponential back-off algorithm. For large migrations (>50,000 files), it is always best to plan migrations during off-peak hours to avoid getting throttled too much.

Tip: With platform expansion, SharePoint Data Migration Tool will enhance too, including the features and restrictions.

Deduplicate Before You Migrate With Only SharePoint Migrator

SharePoint environments tend to build up duplicates quite quickly. It can be a document saved several times across libraries, duplicated at earlier times of migrations, or multiple users re-uploading the same file. Keeping these duplicates incurs a cost in terms of wasting storage quota, generating unnecessary search results, and extending the migration. SysInfo has a built-in SharePoint deduplication module that handles these tasks throughout the migration.

Why This Matters For Large Enterprises?

Regular SharePoint setups have around 15%-35% of undesirable documents that come from many sources. Moving these files without deduplication means that you're likely using more resources to store and license files.

Our deduplication feature does not interfere with your migration process. You can either deduplicate the source sites beforehand and transfer cleaned files over. Alternatively, the deduplication can be performed on the destination site after the transfer ends and fix any duplicates that might trouble you after the move.

Realistic Example (SharePoint Duplicates Impact):

With No Deduplication:

Site Storage: 48,000 Files → Destination Tenant: 48,000 Files (14,400 Similar)

With SysInfo SharePoint Deduplicator:

Site Storage: 48,000 Files → Unique: 33,600 Files → Target Tenant: 33,600 Files

  • 30% Less Storage Consumption
  • Few Transfer Batches
  • Faster Uploads
  • Improved Efficiency
  • Clean SharePoint Envoirnment

Recycle Bin (Data Loss Safeguards) Control:

Deleted files are not permanently removed; instead, they go to the SharePoint Recycle Bin.

IT administrators have the ability to restore anything that was deleted accidentally until the bin is emptied.

  • Retention Period: 93 Days
  • Viewed and restored only by the Site Collection Administrator
  • Retained for an additional 14 days by MS for point-in-time recovery by Microsoft

Customize SharePoint Storage Deduplication Parameters

Achieve precise control over what site content needs to be eliminated and handled.

Duplicates Validation Framework

Use this cross-tenant SharePoint migrator tool to select your detection method: File Content (Hash Code) for the comparison of data having different names, or opt for File Name comparison for the finding of text strings. While Name matching, either use Exact Match for matching terms, or Smart Match for getting rid of standard version suffixes (like _v2 or (1)).

Target Specific Redundant Data

You can isolate and remove duplicates by file type or in combination with the creation date range. It is possible to add extensions manually (like .docx or .csv) in Quick Add and use date selectors to narrow the comparison to a particular date period. This native SharePoint tooling is entirely script-based with no complex admin center UI.

Version Retention Settings

Define which copy to keep once duplicate copies have been found: Latest Version functionality ensures the latest version of the file is chosen (this option is applicable to the active content), and Oldest Version enables file selection of the original file (it works best in compliance and audit situations). It helps in better scanning and retaining the crucial sites.

Post-Deletion Verification

Prior to deletion, the View Duplicate Files feature of the SharePoint to SharePoint Migration Tool gives a view of the duplicate files on a particular site with the following details: Total Files Scanned, Duplicate Groups Found, Files to Delete, and Files to Keep. You can browse the information in Groups, Images, Documents, or Other categories.

Additional Information

Prerequisites for SysInfo SharePoint to SharePoint Migration

To eliminate common migration failures and perform a successful migration, configure the source and destination tenant beforehand.

Attention

SharePoint destination sites have to be created before the migration process can be initiated. SharePoint Migration Manager moves files to destination sites that already exist and cannot create any new site collections on the designated tenant. Make sure to set up all the destination sites through the SharePoint Admin Center and fulfil the Microsoft 365 Tenant Migration Checklist so the migration can begin feasibly.

  • Microsoft 365 Global and SharePoint Admin Accounts
  • Active M365 Subscription with enabled SharePoint Online
  • Admin rights on each source site with MFA enabled for OAuth login
  • Entra ID App Registration with Client ID, Client Secret, and Tenant ID
  • Sites.ReadWrite.All and Files.ReadWrite.All Graph API permissions
  • Pre-created SharePoint sites on the destination tenant via Admin Center
  • Sufficient storage & unblocked custom scripting to migrate content types
  • Valid SharePoint Migration Tool Licence (Personal/Corporate)
  • Microsoft 365 licenses with SharePoint Online access
  • Granted Sites.ReadWrite.All permissions with admin consent
  • Active internet with stable bandwidth(min. 10 Mbps) for large migrations
  • Software launch with admin access for system-level network access
  • Access to Outbound HTTPS (Port 443) for graph.microsoft.com and *.sharepoint.com
  • No blockages for non-interactive app-only Graph API calls due to Conditional Access Policies
  • Whitelist Microsoft Graph API and SharePoint Online endpoints in case of corporate proxy
  • Disabled real-time antivirus scan to prevent file-lock interference
  • Plan large-volume migrations (>1 TB) in off-peak hours to avoid throttling
  • Before initiating site mapping, ensure all SharePoint sites and destination equivalents match
  • Run deduplication through SharePoint Migration Tool beforehand to reduce data volume and avoid redundancy.
  • Ensure the file name doesn’t contain any unsupported characters like ~, #, %, etc.
  • Reassign site-level permissions manually on the target tenant post-migration
  • Recreate SharePoint Designer workflows and Power Automate flows
  • Verify file counts, skipped, failed, completed details through the Migration Report
  • Make sure that your source tenant is active and accessible until migration completes and is verified

Troubleshoot Common SharePoint Migration Issues & Fixes

Explore complexities encountered by Admins that lead to real-world migration failures.

Key Note: Before troubleshooting any specific error, this SharePoint to SharePoint Migrator helps you evaluate and identify the root failure point with the All Reports section. It displays a per-file status breakdown including failed and skipped items, error codes, and the specific site and file at which the failure occurred. Use it for a quick issue diagnosis. Then, proceed with the following.

Unable to connect the source or destination tenant?

Reason

The primary causes may be incorrect credentials, MFA blocking OAuth flow, or insufficient admin role permissions.

Fixes

  • Must have Global Admin or SharePoint Admin Role in M365 Admin Center. Site Admin Role isn’t sufficient.
  • Verify 3rd party OAuth app consent is not blocked by the Microsoft tenant from Azure AD > Enterprise Applications > User Settings >Users can consent to apps.
  • Ensure the client secret hasn’t expired from Azure AD > App Registrations > Certificates & Secrets
  • In case of MFA, use Admin Impersonation Mode for login. Modern Auth generally bypasses interactive MFA prompts.
  • Check no blockage remains for application access on your OS due to Conditional Access Policies. If needed, remove admin account from CA policies during migration.

Is your migration process slow or stalled?

Reason

Microsoft Graph API 1,200 requests per-minute/tenant or app is exceeded on SharePoint endpoints.

Fixes

  • SharePoint Migration Tool delta sync handles throttling well, allowing you to resume operations without manual intervention.
  • Use File Size, File Extension, and Content Type Filters to reduce per-session request volume and reduce batch sizes during migration.

Reason

It is possible that your file name conflicts, has unsupported characters, or files exceed 400-character path length limits.

Fixes

  • File names containing # % & * : < > ? / \ { | } ~ ^ characters gets failed. Prevent their use.
  • Deeply nested folders and long file names must be renamed at source or with the Custom Folder Naming filtering to simplify the destination path.
  • Avoid files beginning with tilde (~), ending with point (.) or having reserved Windows names.
  • This dedicated software handles the character path limit and allows you to pass the throttle errors.

Reason

Your sites are either not provisioned in the destination tenant, the admin account lacks site collection rights, or new sites are not yet indexed by the Graph API.

Fixes

  • Ensure your destination sites are already created prior to migration in the target tenant.
  • Verify you have a Site Collection Administrator authenticated admin account.
  • Add the admin account to the target site's Site Collection Admins list in SharePoint Admin Center.
  • Newly created sites take up to 15 minutes to appear in the Graph API. Wait and re-authenticate.
  • Check that your file status remains active and not Locked, as otherwise they cannot access the migrated data.

Reason

Content Type Filter is applicable on Document Libraries, or the target list column schema is unmatched to the source

Fixes

  • Verify Content Type Filter in the SharePoint Data Migration Tool and either remove it or set it to Lists.
  • Pre-create the required custom list columns (site, content types) in the destination list to map them correctly.
  • SharePoint has a 5,000 item threshold for large files. To bypass it, always cross-verify the migration report and match source and destination list items.

How to resume the migration without risks

Reason

It may be due to a network interruption, session timeout, manual cancellation, or a system restart during an ongoing migration job

Fixes

  • Re-run delta sync with the same source-to-target mapping with the Skip Previously Migrated feature of the SharePoint Migration Manager.
  • Use SharePoint Reports to figure out which files or site migrations failed, skipped, or interrupted to resume accordingly.
  • In case of large batch migrations, use File Size/Extension filters to avoid session timeouts.

Items outside the selected timeframe are migrated too.

Reason

Graph API occasionally duplicates the data from Created and Modified Dates for specific SharePoint content types. This often leads to potential variance in the execution of the filter.

Fixes

  • SharePoint Tenant-to-Tenant Migration Tool filters both fields via Date Range separately.
  • Add Created/Modified columns in source SharePoint if the dates appear to be wrong. It helps verify if files inherited metadata too.
  • Apply No Date Filter to run the full migration and use other options in the incremental syncs if required for new/uploaded data.

Global Law Firm Mastered Multi-Tenant SharePoint Migration

A real-world success case study on securing legal data at a massive scale with the professional solution.

Case: An international law firm in Munich acquired three regional law firms 16 months ago. Each one operated independently on the M365 ecosystem with their own SharePoint environments. It summed up to almost 10 tenants, 280 SharePoint sites, and around a few million files.

Challenge: Native Microsoft Tooling and PowerShell estimated the results in 12 weeks, and that too had several size limitations, throttling concerns, data preservation, folder structure maintenance problems, and other issues.

Solution: Download the SharePoint Migration Tool, created with site mapping, batch migration, and a deduplication engine. It helped reduce the total file count from a few million to lakhs before migration. With almost a 25% reduction in the count of unique files, it completed the entire SharePoint migration quickly. Several advanced filters were used to ensure site-content accuracy, and the Skip Previous Migration option was used during incremental runs for forensic precision, with no loss or downtime.

Result:
Jennifer Huffman, Director of IT Operations at the International Law Firm in Munich, Germany, stated:

“We had 10 separate Microsoft 365 SharePoint Tenants from acquired firms. SysInfo’s quick mapping and bulk migration handled the entire consolidation in minimal time. Deduplication helped remove the redundant content at a wide scale before the final migration process. Moreover, Active Tasks and All Reports dashboards provided real-time tracking and live insights into the cross-tenant SharePoint migration during M&A. We had satisfactory results and were able to resume operations successfully.”

Frequently Asked Questions

Architecture and scenario-level questions that move beyond generic UI queries based on real user concerns are answered.

Ans: Whether you are performing a SharePoint Online to SharePoint Online migration, tenant-to-tenant migration, or restructuring content within tenants, all scenarios are highly supported to move SharePoint sites, group sites, generic lists, drive files, custom columns, and document libraries.

Ans: Yes. SharePoint Online is usable for both Microsoft 365 and Office 365. Using this software, you can migrate SharePoint Online sites and group sites content identically, whether on Microsoft or Office 365 plans and licensing.

Ans: Yes, SharePoint Migration Manager doesn’t cap you at the volume of data you migrate at the small-scale or enterprise level. However, SharePoint and Microsoft do have some limitations. Use File Size Filter and run small batches to prevent throttling errors.

Ans: Though Global Admin is the most permissive role, it is not the only one, and many enterprise security policies restrict it too. What you must have is Admin/Global Admin Access along with SharePoint Admin permissions and access, SharePoint Site Collection Admin rights, and consent to the Graph API permissions in Azure AD. This is not a software limitation but a Microsoft OAuth 2.0 and Admin Impersonation login mandates.

Ans: Yes, this exceptional utility offers a Skip Previously Migrated filter which compares the file inventory of source and target sites before migration. This only checks the file name and path to decide and skip the files that are already transferred, supporting delta runs. If you want to move the newly uploaded files along with the updated files, use the Modified Date Filter along with this option for precise incremental migration control.

Ans: Yes, Microsoft Graph API preserves the metadata, including created date, modified date, timestamps, and author information of the sites intact. For compliance and legal evidence, where it matters the most, you can check the Log Reports from SharePoint Migration Reports in the SharePoint Data Migration Tool.

Ans: The remarkable software is designed with advanced algorithms ensuring complete security of your critical sites and group sites content. All migrations are Microsoft authenticated, encrypted, and follow secure protocols via Graph API. No data is passed through the SysInfo servers or stored anywhere, ensuring your sensitive enterprise data remains yours with no loss or downtime.

Ans: Mailbox volume, item counts, items per folder, and the Microsoft throttling limit define the time taken for the SharePoint migration. Generally, such large mailbox volumes are completed in a minimal time without affecting the originality of your data with secure site mapping, delta syncs, and deduplication.

Ans: Yes, of course. SysInfo Microsoft SharePoint Migration Tool runs in the background without impacting your business operational productivity. Skip Previous Migration ensures only the changes are migrated after initial passes, and your URLs are rewritten automatically too in the target tenant. Appropriate site mapping ensures that all the links and sites function properly.

Ans: No, you cannot perform SharePoint migration until your Microsoft 365 tenant accounts have licences assigned. With the SharePoint Migrator, you can cross-verify accounts with assigned and non-assigned licences. Only those who have one can proceed further. Also, the SysInfoTools Software doesn’t create or assign licences; you must have one beforehand for direct mapping and site provisioning during migration.

Ans: Yes, it can, but there are certain restrictions. Often, Microsoft Purview Information Barriers and Sensitivity Labels restrict Graph API access and sometimes encrypt files. As a result, M365 Tenant-to-Tenant migrations fail or skip protected site content. For a complete successful migration of entire site content, temporarily remove or suspend the protections and later, reapply the policies once the migration completes.

Ans: Download the SharePoint Migration Tool and use its Deduplication feature to handle redundant files anytime throughout the migration. Also, this depends on which method you opt for: File Content (hash-based) allows binary hashing for each file and identifies any two files with matching hashes as duplicates regardless of their name, location, or metadata. File Name, on the other hand, identifies by comparing name strings similarly either with Exact Match or Smart Match.
