Complete Step-by-Step Guide for SysInfo Microsoft 365 Tenant to Tenant Migration Tool Easily back up Microsoft 365 Mailboxes to PST, and Mailboxes, SharePoint, and OneDrive data to another tenant. Step-1:
Launch and Load Software

Download and install the SysInfo Microsoft 365 Migration Tool on your OS. Run it as an administrator.

Copy Mailboxes

Tap the Copy Mailboxes from the center panel of the opening window to get started.

Pick Source Mode

Next, choose your Source Tenant Mode:

  • Modern Authentication: With this option, you can directly follow the Admin Login with your Microsoft 365 Admin ID.
  • Admin Impersonation: It offers a dedicated app login via Admin Impersonation: and Tenant ID.

Step-4:
Login via Modern Auth

With Modern Auth, click Choose an Account Connection and pick an existing account (if any) or tap Add Connection. You will be redirected to the browser.

Email ID Selection

On the browser, select or enter your Microsoft 365 Admin ID and click Next.

Sign In By Password

Afterward, enter your Admin account Password and click the Sign In button to authenticate your account.

Approve Permissions

Once you tap Sign In, a window with Microsoft permissions consent for the Microsoft 365 Migrator appears on the screen. Scroll till the end and click Accept to grant them or Cancel to disapprove and step.

Step-8:
Mailbox Selection

Now, in the opened interface, you can:

  • View available mailboxes and search them by Name or Email Address.
  • Select the required mailboxes that you want to migrate by checking them.
  • Confirm the selected mailboxes in the Selected Mailboxes panel.

Also, view the selected mailboxes count at the bottom and click Convert to PST to proceed.

Step-9:
Conversion to PST

In the new window, you can review the selected mailboxes and enter a Parent Folder Name for the resultant file. If left empty, the file will be saved by timestamp as a name.

Set Target Path

To choose the destination path where you want to save your resultant PST, tap Browse and pick a folder. Click Open to select.

Filter and Export Detail

Scrolling down, you can check and verify the Export details and opt to Skip Previously Migrated Data to prevent redundancy. Click Apply Filters to customize data with other smart options before migration.

Filtering by Date

This Date Range filter allows you to export emails from a specific time period instead of the entire mailbox.

  • Enable this option to activate the filter.
  • Then, choose the start and end dates (From Date/To Date).

It will ensure that only emails within the selected dates will be converted to PST. If left empty, all emails will be exported.

PST Conversion Filters

Other filters that you can apply are:

  • Split PST Files: It helps manage large PST files by breaking them into smaller parts. Activate it and set the maximum size limit by GB or MB. (e.g., 2 MB, 10 GB, etc).

Note: When the PST reaches the defined size, this tool automatically creates a new file. It is recommended for better compatibility with older Outlook versions and to prevent corruption.

  • Attachment Options: This option allows you to manage email attachments during conversion. Select Convert Without Attachments to export emails without attachments. Thus, reducing PST file size. It is useful when attachments are not required in the mailbox backup.

Duplicate Removal

Enable Duplicate Removal allows you to clear the clutter to avoid redundancy. You can activate duplicate filtering and choose the Match Criteria Options: Subject, From, To, CC & Body. Emails matching the selected criteria are considered duplicates and excluded from export.

Once done, tap Apply & Continue. It applies the selected filter settings and proceeds to the next step of the Mailbox to PST conversion process.

Initiate Conversion

Back to the previous window, click Start Conversion from the button to begin the process.

Check Conversion Progress

Further, the Active Tasks window starts where you can view the real-time progress of the bulk PST conversion. It shows total mails, migrated, skipped, failed items, and elapsed time. If needed, you can halt the conversion process anytime using the Stop Conversion button.

Stop Conversion (Optional)

If you stop conversion, a message appears at the top with two options to proceed. Either you can go Back to Users, or you can choose to View Partial Files (if any converted) in between.

Conversion Report

The All Reports section gives a complete overview of all migration and backup activities. Here, tap View Reports in Email Backup Reports to check the status after the process finishes.

PST Conversion Report

Verify the complete summary of total conversions, items processed, converted, skipped, and failed. It also displays the total size processed and the detailed status of each PST conversion task, like session ID, start and completion date and time, duration, success rate, and source file path. You can delete the record if required.

Download & Installation

Download, install, and run the SysInfo Microsoft 365 Migrator as an administrator.

Copy Mailbox

Tap Copy Mailboxes from the center panel to get started with the first step of data migration.

Login Microsoft 365

Earlier, we chose Modern Auth login while converting to PST. Here, we pick Admin Impersonation for the login. Tap Use Saved Credentials to log in with an already existing account (if any). Or else, enter your Client ID, Client Secret Key, Tenant ID, and tap Connect and Verify.

Select Mailboxes

Further, in the opened interface,

  • Check available mailboxes and search them by Name or Email Address.
  • Pick the mailboxes for migration by checking them. Confirm them in the Selected Mailboxes panel.

In fact, view the selected mailboxes count at the bottom and tap Continue to select the destination to proceed.

Step-5:
Choose Destination Account Login

Pick Modern Auth and tap Choose an Account Creation. Select the existing mailbox ID or click Add Destination Connection to pick another account.

Opt for Source Users

The next window displays all the source users you selected earlier. It also displays their folder count and migration status. Review the users and tap Continue to Mailbox Mapping to proceed.

Step-7:
Mailboxes Mapping

The map mailbox window opens, where source mailboxes must be mapped to destination mailboxes before continuing. You can see the Destination Tenant name.

  • Currently, none of the listed mailboxes is mapped.
  • To migrate, select the corresponding destination mailbox for each user.
  • You can also check the total mailboxes, mapped, and unmapped at the top.

Mailboxes Mapped

You can expand the Destination Mailbox drop-down to choose the target Microsoft 365 account for your source mailbox. Ensure you map at least one mailbox to proceed with the migration. Once the destination mailboxes are set, the status changes from Not Mapped → Mapped.

Choose Items to Include

Next, in the same window, under what would you like to include in your copy, pick items to transfer. Refine and control what to include among (emails, contacts, and events).

  • Emails: Choose it to transfer all the emails only within your mailbox. You can set a specific time period for selective migration with the Date Range Filter (Start and End Date). If you do not set a range, all emails are migrated.
  • Contacts: If you select moving the address book, it migrates: Basic info (name, display name), Contact details (email addresses, phone numbers), Work info (job title, department), and Personal details and Contact Photos.
  • Calendars & Events: Selecting it will transfer all: Default and custom calendars, Event details (subject, body, time, attendees), and Recurring events as individual instances. This will ensure nothing important is left behind.

Apply Filters

Tap this option, and a new window opens where you can manage the Duplicate Email Detection settings. It helps you identify and remove duplicate emails on the basis of Subject, Body, To Recipient, From Sender, and CC Recipients. Hit Apply Filters to save.

Migration Options

Moving ahead, the panel asks where you would like to migrate the emails. You can pick either of these options:

  • Migrate into mapped default folders: Emails are directly saved into the standard folders like Inbox, Sent Items, and Drafts.
  • Migrate into a custom parent folder: This creates a new custom folder in the destination mailbox where all the source data is migrated.

Step-12:
Skip Previous Migration

Opt for “Skip previously migrated emails” to ignore emails that have already been migrated in earlier sessions, aka incremental migration. Move only new or unprocessed emails, preventing duplication and saving migration time and bandwidth.

Migrate Microsoft 365 Mailbox

Tap Start Migration to initiate the transfer according to the chosen mailbox and copy settings. The tool automates the process of transferring selected data to the destination account in real time.

Migration Progress

In the next window, you can check the progress of your mailbox migration. It displays:

  • Source and Destination account names
  • Live status of the overall progress
  • Performance metrics (Speed, Time, and Data Transferred)
  • Detailed statistics of the data being migrated
  • Current Folder and time consumed

If required, you can halt the progress in between with the Stop Migration button.

Active Tasks

You can browse to the Active Tasks window and check the migration process separately. Tap View Details to return to the above page for complete information.

Step-16:
Migration Report

The All Reports section gives a complete overview of all migration and backup activities. Here, tap View Reports in Email Migration Reports to check the status (Stopped/Running/Finished).

Migration Report Status

This screen shows the Mail Migration Reports dashboard, providing a summary of the entire migration process in real time.

  • Check total migration, mails, migrated, skipped, and failed count.
  • The status section below indicates that the mail migration is currently Stopped.
  • Use the Refresh button to update the report and Back to go to the previous screen.
  • Hit the Delete icon to remove the record of the migration process entirely from the software system.
