Convert PST/OST to File Formats

Step 01: Install and Run

Download, install, and start the SysInfo PST Converter Tool on your OS as an administrator.

Step 02: Software Options:

The PST Converter allows you to add and remove files with the following:

  • Select File(s): Use this to add single or multiple PST and OST files from your system for the conversion.
  • Select Folder: Choose it to add one or more folders containing multiple PST/OST files into the tool.
  • Remove Selected: It will clear only the selected PST and OST files added accidentally to the tool.
  • Clear List: This will remove all the added Outlook data files from the software for conversion.
  • Drag & Drop: Simply drag the files from the system and drop directly into the tool.

Step 03: Live Chat

Step 04: Add Files

Further, choosing any of the file upload options, add PST or OST files from the system for the conversion. (Yes, you can add both, even if it’s PST Converter!) Tap Open to access them.

Step 05: Corrupt, Blank, & Locked PSTs

Further, when you click Open, if any PST/OST file is corrupted, blank, or locked, then you can choose whether you want to continue with it or not. Tap Continue if you want to include them, else Remove them.

Step 06: Check File Information

After all files are uploaded, check their information such as Name, Path, Size, and No. of Files. Select which files you want to convert and tap Proceed.

Step 07: Expand Folders

Tap Expand All Folder from the left to automatically expand the tree hierarchy. Or, you can choose to manually expand each folder as desired with the + icon.

Step 08: Search Folders from Tree

When the tree hierarchy is expanded, use the Search Folders feature to locate any specific folder, like Inbox, Draft, etc. Double-click the folder to view all emails within it in the right panel. You can even check the count of total emails present within a particular folder/sub-folder.

Step 09: Advanced Search

To find out any particular email within the open folder emails, use the Advanced Search feature. Type the keyword and set the criteria to locate in To, From, or Subject.

Step 10: Preview Emails

Double-click on any email whose content you want to check, and a preview dialog appears. Within it, you can verify email content by HTML Body, Attachment, Plain Text, Calendar, Contact, Notes, Tasks, Headers, MIME, and RAW HTML. You can even see metadata details like From, Subject, To, and Date.

Step 11: Preview on Browser

If the built-in tool preview doesn’t work, you can choose Open in Browser (if preview fails), and you will be redirected to the web. Check the email body content there and move back.

Step 12: Select Folders to Convert

Afterward, once the preview is done, select the PST/OST folders that you wish to convert from the tree hierarchy. Use Collapse All Folders to close the expanded hierarchical structure. Press Proceed to move ahead.

Step 13: Select Saving Format

Further, pick a desired file format (PST, MBOX, EML, MSG, PDF, CSV, PNG, JSON, DOCX, VCF, ICS, Thunderbird, MD) in which you want to convert your OST/PST file. Let’s say, PDF.

Step 14: Apply General Settings

Later, you can choose several common filter options before converting the files. These are:

  • Date Range Filter: Use it to export email messages within a specific timeframe. Input the start and end dates and transfer emails only for that period.
  • File Naming Policy: Use it to apply a custom name format based on Subject, Date, or From for the output file.
  • Custom Output Folder: This filter allows you to add a name of your choice for the resultant file for easy identification.
  • Skip Existing Exports: With it, you can skip files that have already been migrated once to avoid redundancy.

Note that the File Naming Policy filter is not available with PST, MBOX, and CSV file formats.

Step 15: Select Advanced Controls

Moving ahead, you get many other filters for customization before the final data conversion. These are:

  • Attachment Handling: Identify how you want to manage your email attachments. Whether you want to export them separately, merge, or exclude.
  • Duplicate Detection: Find similar emails within your PST files and remove them based on To, From, Subject, Body, and CC.
  • PDF Size Restriction: Use it to limit the resultant PDF sizes for upto 500 MB at once.
  • MBOX Segmentation: Only Available if the MBOX format is selected to divide large output MBOX files into smaller chunks.
  • PST Segmentation: Divide large PSTs into smaller PSTs by MB or GB for efficient storage handling.

Step 16: Destination Path & Convert

Furthermore, tap the Browse button at the bottom to select the target folder where you want to save the converted PST files. Click Open and then Start Export to convert the Outlook PST files.

Step 17: Check Progress

You can check the conversion progress in the last window. It displays the Processing Status and the files being converted. Click Stop Process if you want to halt it in between for any reason.

Step 18: Conversion Success

Once all the files are converted, you can see a message as All Selected Data Has Been Exported. Click Close. You can view Completed, Stop, and Processing in the status, along with other important details like Source, Destination, File Count, Execution Time, and Total Messages, and Output Location.

Besides this, click Export Log to see a detailed conversion report in a CSV file downloaded on the OS. Press Start New Export to restart the entire process.

Export PST/OST to Email Clients

Repeat steps 1 to 12 in the process to convert PST to file format. Then, resume with the steps provided below:

Step 13: Choose Saving Client

Pick the email client of your choice to save the PST emails on the cloud or on a on-premise server as desired.

Step 14: Login Methods

To sign in to Microsoft 365, there are two authentication modes.

  1. OAuth 2.0 Authentication

    Only enter your Microsoft 365 Admin Account email address and click Authenticate. It will redirect you to the browser

    Then, select your M365 Account ID from the list, and it will prompt you to enter your password. Type it and click Sign In.

    It will display a message as Authentication completed, you may redirect back to the application. Close it and move to the application.

  2. Using Client and Secret ID

    If modern authentication doesn’t work for your Microsoft 365 account, or you don’t want it to be used. Then, enter the Admin ID, Client ID, Tenant ID, and Client Secret. Press Authenticate to sign in.

    It will open a dialog box with options for selecting Office 365 users to whom you want to migrate your PST emails. There are two ways you can fetch users for saving data within Office 365. This includes:

    1. CSV Import: Click Import CSV to upload the file containing details of all destination user accounts you can save PST data to. Here, you can even use the Search option to check the specific user IDs for selection. ss
    2. Automatic Fetch Users from Admin ID: It is opted by default and displays a complete list of all users within the selected Microsoft 365 Client ID. Use Search to locate specific user IDs, select them, and tap Next to load. ss
  3. Google Workspace Admin Login

    Here, you simply need to enter the Google Workspace admin address and upload the JSON service key after its creation. Once uploaded, click Authenticate, and a list of users will be displayed. Select the user to whom you want to import PST data and tap Proceed.

  4. IMAP Login

    Through this, you can log in to multiple accounts like Gmail, Yahoo, AOL, AT&T, Zoho, and many others. You only need to enter Email Address, App Password, Host Name, and Port.

    With the Server List button, you can automatically search server hosts for each client for whom you need to export PST data.

Step 1: Download the Software
