Step-1:
Install and Run Tool

Start the Zoho Backup Tool as administrator on your local system.

Sign In Zoho

Here, enter the Zoho email address and third-party app password. Click on the Sign In button.

Expand the Tree Hierarchy

Another wizard gets loaded with the Zoho Mail account data. Expand it to preview all files, folders, and sub-folders. Select to export and click Next.

Choose Saving Format

Now, select the file format from the drop-down menu of Saves/Backup/Migrate As. Let’s say PST.

Apply Filters

Check these features and filters as per your requirements:

  • Remove Duplicate Mail: Check this to delete similar emails from the selected folders.
  • Maintain Folder Hierarchy: Opt with this to maintain the folder structure as same as previous.
  • Free up Server Space: To free up storage from the logged Zoho account.

Step-6:
Skip Migrated Items

Click on the Skip Previously Migrated Items option to leave the previously backup emails from the selected folder.

Select Other Filters

If necessary, you can also go for these options:

  • Migrate or Backup emails Without Attachment: Opt for this to backup only the Zoho emails without attachments.
  • Split Resultant PST: Option allows users to break the resultant PST into multiple small PSTs.
  • Set Backup Schedule: Check this feature to set the backup of Zoho Mail emails based on a day/month/week.

Step-8:
Date Range Filter

Opt with this Mail Filter to separate the Zoho mailbox emails into an individual date range.

Custom Folder Name

This option assigns the folder name in which the backup files will be stored.

Specify Destination

Press on the Path to Save button to select the destination location for the new backup folder.

Convert Zoho Mails to Outlook PST

Lastly, tap Convert to begin the backup of Zoho Mail emails into PST file format.

Download Report

Finally, download the resultant report of the backup by pressing on the Download Report. In addition, you can also start the downloading of Zoho emails once more using the Convert Again button.

Follow the steps from 1 to 3 as before and then go along with the below steps to migrate Zoho Mail emails to different email clients:

Step-5:
Select Saving Client

Select the email client from the drop-down list of Saves/Backup/Migrate As options. Here, the selected email client is Gmail.

Sign In Gmail

Here, you have to type the Gmail ID and third-party app password and click on the Sign In button.

Apply Filters

If necessary, opt for these options:

  • Remove Duplicate Mail: It is used to remove identical emails from the chosen folders.
  • Maintain Folder Hierarchy: Tap on this to maintain the hierarchy of the migrated folders.
  • Free up Server Space: Check this option to free up space from the Zoho Mail server.

Step-8:
Choose Other Features

If required, go for any of these features to enhance the output:

  • Skip Previously Migrated Items: Tick this option to skip the emails already migrated before.
  • Migrate or Backup emails Without Attachments Files: Check this to eliminate the attachments from the emails.
  • Set Backup Schedule: Tick the option for migration scheduling such as Once, Every Day, Every Week, etc.

Date Range Filter

Checkbox the Mail Filter option to filter the migrated emails into a specific date range.

Step-10:
Custom Folder Name Feature

Check this option to define a unique name for the resultant folder.

Step-11:
Migrate Zoho to Gmail

Click the Convert button to start the migration of Zoho Mail emails into Gmail.

Step-12:
Download Report

Finally, download the conversion report of Zoho emails by tapping the Download Report button. In addition, click Convert Again to restart the process.
