Steps to Add Bates Numbers to PDF

  • Step 1: Run the SysInfo PDF Bates Numbering tool as an Administrator on your PC.

  • Step 2: In the opening wizard, click on the Add File button to add the PDF files (Single or Multiple) you want Bates Stamping. To add an entire folder containing any number of PDF files, click on the Add Folder button.

  • Step 3: Select the PDF files from File Explorer and click on Open to add files to the tool.

  • Step 4: If you are adding a password-protected PDF file, you first need to enter the password and click OK. Then, the file will be added to the tool.

  • Step 5: Further, after all PDF files are added, click Next to proceed.

  • Step 6: Getting to the next wizard, you will see various options to customize the Bates Numbers. In the Bates Settings section, do as directed:
    • Number of Digits: Choose the desired number of digits for your page numbers.
    • Start Number: Here, you specify the starting/reference number to begin page numbering.
    • Starting Page: In this section, specify from which page you want to start Bates stamping.
    • Increment Factor: Define the difference between the Bates numbers of the two consequent pages.
    • Prefix Text to Page Number: Add prefix (comes before) text for Bates Numbers.
    • Suffix Text to Page Number: Add Suffix (comes after) text for Bates Numbers.
    • Separators: Choose signs (/,\, or -) to separate Prefixes, page numbers, and suffixes.
    • Position: Set the position of added Bates Numbers on the PDF file page.

  • Step 7: Moving to the Advanced Bates Settings. Check the Confidential Text checkbox to add any disclaimer, notes, or other secretive text. Type the text in the Text field and set the Position as per the list provided.

  • Step 8: Next, tick the Current Time Stamp checkbox to add the current date to PDF file pages. Choose the date Format you want and Position for dates on the PDF file pages.

  • Step 9: Select the Continue Series for All Files option to keep the same Bates settings for all PDF files added.

  • Step 10: In the Font-Settings section, set the Font Family (only Courier option), Font Style(Plain or Bold), and Font Size. Also, choose a specific Font Color for Bates Numbers.

  • Step 12: In the Advanced Page and Content Settings section, you get to set the pages of PDF files. To set the margins of the page manually, select the Margin (2mm-15mm) radio button. However, to set the margin and page alignment automatically, select the Automatic Margin, Alignment, and Content Size radio button.

  • Step 13: Choose the Page Orientation you want: Portrait or Landscape. Next, specify the Page Size from the list.

  • Step 14: Check the Background-Text checkbox to add background text to your PDF file pages. Suppose, we type ‘SysInfoTools’ as a background text. You can check the results in Preview.

  • Step 15: You can also define Encryption settings:
    • Select Remove Encryption from All to remove password protection from Output PDF files.
    • To keep the password of the output PDF the same as the added PDF file, select Maintain Encryption.
    • To set the password to the Output PDF file, select the Set -Encryption option and enter the desired password on the Set Password field.

  • Step 16: Click the Preview button to see a preview of the PDF file pages with the Bates numbers. You can check if, the result will be as you want.
