Check the steps to migrate from different email clients to different Webmails and Email File Formats.

Migrate from One Email Client to Another Email Client

  • Step 1: Download the SysInfo Mail Migration Software. Then, install the application and run it as administrator.

  • Step 2: Here, you get two source options at the top: File Format and Email Clients.

  • Step 3: To migrate from one email client to another, choose the Email Client radio button. Click on the Continue button to proceed.

  • Step 4: Choose Gmail or other preferred email client from the list provided.

  • Step 5: Here, you can choose to migrate only mails from Gmail or other Google Services as well. Then, enter your Gmail Credentials: Gmail User ID and third-party password. Click on Sign In.

  • Step 6: Once you login, the tool will load complete Gmail mailbox data. Now tick the folders you want to migrate. Click Next.

  • Step 7: Now, select the ‘Migrate in Email Clients’ radio button.

  • Step 8: Expand the list of email clients and choose Office 365. Or you can choose another preferred Email Client.

  • Step 9: Provide your Office 365 User ID and click on Sign In. Once Authentication is successful, return to the tool.

    Note: You can also Login to your Office 365 account using Client ID and Secret Value.

  • Step 10: Now, you get multiple additional features to customize results:
    • Date Filter: It filters all the emails on the basis of the set dates and migrates emails received or sent between those dates.
    • Migrate or Backup Emails Without Attachments: This option will migrate only emails and not their attachments.
    • Skip Duplicate Email(s): It prevents all the duplicate items and emails from migration.

  • Step 11: Choose Free Up Server Space to delete emails from the Server permanently, once the migration is complete.

  • Step 12: Next, on the right side of the panel, select Office 365 mailbox where Gmail data will be migrated. You can choose either Mailbox, Public Folder, or Online Archive. Then, tap Next.

  • Step 13: Now, click on the Download button and migration will begin. Click on the Stop button to stop migration.

Migrate Emails from Gmail to PST File Format

To migrate emails from Gmail to PST, follow steps 1 to 6 as instructed above. Rest do as directed below:

  • Step 15: By default Save in File Format radio button is selected. Also, PST is chosen as the resultant saving option. If you want to choose another file format, expand the list of file formats and choose the preferred one.

  • Step 16: If needed to identify and prevent migration of duplicate emails into PST, choose the Skip Duplicate Email(s) feature.

    • Split PST: Select to break large resultant PST files into smaller PSTs according to preferred size.
    • Migrate or Backup Emails Without Attachment Files: You can exclude the transfer of attachment files using this option.
    • Free Up Server Space: By selecting this feature, you can delete emails from the server permanently after completing the migration.

  • Step 18: Check the Date Filter checkbox to apply the date range migration of emails. Set Start and End Dates. Only emails between those specified dates will be migrated. Click Next.

  • Step 19: To save the resultant PST file to your desired location, click on the Save Path button. Further, click on Download to begin the transfer.

Backup PST File to Gmail

  • Step 20: After running the tool on your system, you will see two source options on the screen: File Format and Email Client. File Format is selected by default. You just need to click on the preferred file format. Let us choose PST.

  • Step 21: Click on the Continue button to move to the next panel.

  • Step 22: Click on Select Files/Select Folder to add PST files to the tool.

  • Step 23: Choose the desired PST Files from the system. You add multiple PST files at a time. Click Open.

  • Step 24: Once, PST files are added, click Next to proceed. Or, if you want to remove it, click on the Remove or Remove All button.

  • Step 25: In the next panel, expand the tree hierarchy of added PST files and preview PST file content. Select only those folders that you want to migrate. Click Next.

  • Step 26: Click on the Email Client radio button. Further, expand the list of available email providers and choose Gmail.

  • Step 27: Enter your Gmail ID and App Specific Password to login into your Gmail account. Click on Sign In.

    • Remove Duplicate Mail on Basis of To, From, Subject, BCC, & Body: Eliminates migration of duplicate emails.
    • Maintain Folder Hierarchy (Selected by default): It keeps the structure of the folders and emails the same in the resultant Inbox as it was in the previous inbox.
    • Migrate or Backup Emails Without Attachment Files: This option will migrate only emails and not their attachments.

  • Step 29: To migrate selective emails, opt for Date Filter. Accordingly, set the Start and End Date. Also, you can specify a Custom Folder Name for the resultant PST.

Backup PST File into PDF File Format

  • Step 32: Choose EML as the Source file format.

  • Step 34: Next, click on Select Files or Select Folder to add the EML files you wish to convert to PDF.

  • Step 35: Find and select EML files from your system. Click Open. Once files are added to the tool, then proceed by clicking on Next.

  • Step 36: Import Successful. Click OK and expand the tree hierarchy of selected EML files. Here, Preview the EML file content and attachments. Then click on Next.

    • Save PDF Attachments separately
    • Migrate or Backup Email without Attachment Files
    • Convert Attachments to PDF Format

  • Step 41: You can also choose an appropriate saving format for EML file data through the Naming Convention feature. Additionally, use the Custom Folder Name Option to specify a desired folder name for the resultant folder.
