Step-1:
Install and Launch the OST Converter Pro

Download, install, and launch the SysInfo OST Converter Pro on your Windows system with administrative privileges to access all conversion and export functionalities.

Software Options:

The SysInfo OST Converter Tool provides multiple options to add and manage OST files before starting the conversion process.

  • Select File(s): Add one or multiple OST files from your system for conversion and export.
  • Select Folder: Import an entire folder containing multiple OST files for batch conversion.
  • Remove Selected: Remove only the selected OST files that were added accidentally without affecting other loaded files.
  • Clear List: Remove all loaded OST files from the software and start the file selection process again.
  • Drag & Drop: Quickly add OST files by dragging them from your system and dropping them directly into the software interface.

Step-3:
Access Live Chat Support

Click the Live Chat option available at the top of the software interface if you need assistance or have any queries. The software will redirect you to the default web browser, where you can submit your details through the support form and connect with the technical support team.

Step-4:
Select and Load Outlook Data Files

The software supports both OST and PST files, allowing you to load either file type as required. Browse to the location of the files on your system, select the desired OST/PST files, and click Open to import them into the software for conversion and export.

Handle Corrupt, Empty, or Locked Files

After loading the selected Outlook data files, the software automatically detects any files that are corrupted, empty, or password-protected/locked. Review the detected files and choose whether to include them in the conversion process by clicking Continue or exclude them by selecting Remove.

Review File Details and Continue

Once the Outlook data files are loaded successfully, review their details, including File Name, File Path, File Size, and Total Number of Files. Select the files you want to convert and click Proceed to move to the next stage of the conversion process.

Expand and Browse Mailbox Folders

Click Expand All Folder from the left panel to automatically expand the complete mailbox folder hierarchy. Alternatively, use the + icon next to individual folders to expand them manually and browse specific mailbox contents as needed.

Search and Preview Mailbox Folders

After expanding the mailbox hierarchy, use the Search Folders option to quickly locate specific folders such as Inbox, Sent Items, Drafts, or any custom folder. Double-click the desired folder to display its mailbox items in the right panel. The software also shows the total number of items available within each folder and subfolder, making mailbox navigation easier and more efficient.

Use Advanced Search Filters

Use the Advanced Search feature to locate specific emails within the selected mailbox folder. Enter a keyword and choose the desired search criteria, such as To, From, or Subject, to quickly find relevant email messages and mailbox items.

Preview Mailbox Items and Email Content

Double-click any email or mailbox item to open the preview window and examine its contents before conversion. The software allows you to view data through multiple tabs, including HTML Body, Plain Text, Attachments, Calendar, Contacts, Notes, Tasks, Headers, MIME, and Raw HTML. You can also verify important email properties such as From, To, Subject, Date, and other metadata to ensure data accuracy before proceeding with the conversion process.

Open Email Preview in Browser

If an email cannot be displayed properly in the built-in preview window, click Open in Browser to view the email content in your default web browser. This option allows you to examine the complete email body and formatting externally before returning to the software and continuing with the conversion process.

Select Mailbox Folders for Conversion

After reviewing the mailbox content, select the required OST/PST folders from the folder hierarchy that you want to convert. You can use the Collapse All Folders option to minimize the expanded folder structure for easier navigation. Once the desired folders are selected, click Proceed to continue with the conversion process.

Choose the Output Format

Select the desired output format for converting the selected OST/PST mailbox data. The software supports multiple export formats, including PST, MBOX, EML, MSG, PDF, CSV, PNG, JSON, DOCX, VCF, ICS, Thunderbird, and MD. Choose the format that best suits your requirements. For example, select PDF to convert mailbox items into PDF documents while preserving their content and properties.

Configure General Conversion Settings

Before starting the conversion process, apply the required general settings to customize the output according to your needs.

  • Date Range Filter: Export emails from a specific period by defining the start and end dates. Only mailbox items that fall within the selected date range will be converted.
  • File Naming Policy: Customize the naming convention of the output files using email attributes such as Subject, Date, From, or other available parameters for easier file identification and management.
  • Custom Output Folder: Specify a custom folder name for the converted data to improve organization and simplify file management after conversion.
  • Skip Existing Exports: Automatically skip mailbox items that have already been exported, preventing duplicate conversions and reducing processing time.

Note: The File Naming Policy feature is not available when exporting data to PST, MBOX, or CSV formats.

Apply Advanced Conversion Options

Configure the following advanced settings before starting the conversion:

  • Attachment Handling: Preserve, extract, merge, or exclude email attachments during conversion.
  • Duplicate Detection: Remove duplicate emails based on To, From, Subject, Body, and CC fields.
  • PDF Size Restriction: Set a maximum PDF size of up to 500 MB. Additional PDF files are created automatically when the limit is reached.
  • MBOX Segmentation: Split large MBOX files into smaller segments (available only for MBOX output).
  • PST Segmentation: Divide large PST files into smaller PSTs by specifying a size limit in MB or GB.

Select the Destination Folder and Start Conversion

Click Browse to choose the destination folder where you want to save the converted mailbox data. Navigate to the desired location and click Open to confirm the path. After verifying all conversion settings and filters, click Start Export to begin the OST/PST file conversion process.

Monitor the Conversion Progress

Once the conversion begins, the software displays a progress window showing the Processing Status, conversion progress, and the mailbox files currently being processed. You can monitor the operation in real time and track the status of each file. If required, click Stop Process to pause or terminate the conversion before completion.

Verify Successful Conversion and Export Report

After the conversion process is completed, the software displays a confirmation message indicating that all selected data has been exported successfully. Click Close to exit the progress window.

You can review detailed conversion information, including Status, Source Path, Destination Path, File Count, Execution Time, Processing Status, Total Messages Processed, and Output Location. The status section displays whether a task is Completed, Stopped, or Processing.

To generate a detailed conversion report, click Export Log. The software creates a CSV log file containing complete conversion details for future reference and auditing purposes.

If you want to perform another conversion, click Start New Export to begin a new conversion session.

Follow Steps 01 to 12 as described above to load, preview, analyze, and select the required OST/PST mailbox folders for conversion. Once the desired mailbox data has been selected, proceed with the steps below.

Choose the desired email client or platform to export OST mailbox data to a cloud service or on-premise server as per your requirement.

Login Methods

Use Microsoft 365 authentication to sign in for OST data migration. The tool provides secure login options for access.

  1. OAuth 2.0 Authentication: Enter your Microsoft 365 admin email address and click Authenticate. You will be redirected to the browser to complete the secure sign-in process.

    Select your Microsoft 365 account ID from the available list, then enter your password when prompted. Click Sign In to complete the authentication process and proceed with the migration setup.

    Once the login is successful, a message appears confirming that authentication has completed. Close the browser window and return to the application to continue the process.

  2. Authenticate Using Client ID and Secret
    If OAuth authentication is unavailable, sign in using manual credentials. Enter the Admin ID, Client ID, Tenant ID, and Client Secret, then click Authenticate to access your Microsoft 365 account securely. step 14c
  3. A dialog box will appear to select the destination Microsoft 365 user accounts for OST mailbox migration.

    1. CSV Import: Click Import CSV to upload a CSV file containing the destination user account details. Use the Search option to quickly find specific users.

    2. Fetch Users Automatically: Retrieve all users associated with the authenticated Microsoft 365 account. Use Search to locate the required users, select them, and click Next to continue.

  4. Google Workspace Login
    Enter the Google Workspace Admin Email Address and upload the JSON Service Account Key. Click Authenticate to load the available user accounts. Select the destination user account for OST mailbox migration and click Proceed.

  5. MAP Server-Based Login
    To migrate OST mailbox data via IMAP, enter the Email Address, App Password, Host Name, and Port Number of the destination account.

    Use the Server List option to automatically fetch the IMAP server details for supported email services such as Gmail, Yahoo, AOL, AT&T, Zoho, and others

Configure General Settings

Apply the required settings before exporting OST mailbox data to the selected email client.

  • Date Range Filter: Migrate emails within a specified date range by selecting the start and end dates.
  • Custom Output Folder: Assign a custom folder name for easier identification of migrated data.
  • Skip Existing Exports: Exclude previously migrated emails to prevent duplicate transfers.

Note: The File Naming Policy option is not available when exporting OST data to email clients.

Configure Advanced Controls

Apply the following advanced options before exporting OST mailbox data:

  • Attachment Handling: Choose to preserve, extract, or exclude email attachments during migration.
  • Duplicate Detection: Remove duplicate emails based on To, From, Subject, Body, and CC fields to ensure clean data transfer.

Start the Migration Process

Click Start Export to begin migrating the selected OST mailbox data to the chosen email client or destination platform.

Monitor Migration Progress

Track the migration status in the progress window, which displays the processing status and mailbox items being transferred. Click Stop Process to pause or terminate the migration if required.

Verify Successful Migration

After the migration is complete, a confirmation message will appear indicating that all selected data has been exported successfully. Click OK and then Close to finish the process.

Review migration details such as Status, Source, Destination, File Count, Processing Status, Execution Time, Total Messages, and Output Location.

Click Export Log to download a detailed CSV report of the migration process, or select Start New Export to begin another migration.
