Office 365 is now widely used for email communication, even Outlook 2019 has some of the basic features of Office 365. Many users are now moving from Outlook to Office 365 because of the accessibility. Office 365 works on a cloud-based platform and the applications can be accessed from anywhere on any device. As the emails get older, Office 365 saves these email messages in the Older messages group automatically.

So, if the user searches for a message then it becomes hard for him/ her to find old emails in Office 365. Here, I will describe a few methods to find old emails in Office 365. But before starting with the process just keep in mind that you have access to the Outlook webapp (OWA) as it will be used to access Office 365 mailboxes.

Find Old Emails in Office 365 via OWA (Outlook Web App)

Outlook Web App is the most convenient way to access Office 365 mailboxes. You need admin rights to access the Outlook Web App or contact the Office 365 administrator to give you admin permission. Just follow the steps given here:

  • Firstly, log into the Outlook Web Application with username and password.
  • You will see a Folder option, on the left side of the Outlook window.
  • You need to expand the folder and the available user mailbox will be listed.
  • Then, click on More to get older messages.
  • Now, you will see a folder with your account name, double click on it and the subfolders will open up.
  • You can see that recent emails will be available in the inbox folder.
  • As Office 365 migrates older emails to the deleted folder, then you have to go to the deleted folder and emails moved by Office 365 will be available.
  • Then, look for the specific mail you want to find and move it to the inbox as you may need that later on.
  • By following the above steps, you can get the old emails from Office 365.

Find Old Emails in Outlook App

Finding older messages in the Outlook app is quite simple. Just follow the below steps to create a search folder and group all messages that are older.

  • First of all, open Outlook 2016/2013/2010 and click the Folder tab, and then select New Search Folder.
  • After that, navigate to Organizing Mail in the opened tab and select Old Mail. MS Outlook group messages older than one-week by default, you can select any time span from which you want to group messages. Additionally, if there is more than one account in your Outlook, then you can select that specific email account and click Ok.
  • Now, you will see that a new folder has been created and added to the Navigation Pane. The folder name will be based on the time you select while creating a search folder.

This is one of the easiest methods to find older emails in MS Outlook. Even if you delete this folder after viewing the email messages, only the folder will be removed not the messages.
